Note: these terms and conditions are translated from the Dutch version with the greatest care, but the Dutch document remains the official one. In case the two disagree, the Dutch version is legal.
1.1 When you apply using the application form, you receive, within a day, an email from the organisation confirming your application. Depending on the availability this email details whether you’re registered or put on the mailing list.
1.2 As soon as your registration has been confirmed with the email as described above, you’re obliged to pay the registration fee within a fortnight using bank transfer. In case of any issues concerning the transfer, you’re required to contact the organisation about this within the same time frame.
1.3 The registration fee depends on the information you provided the organisation using the application form. An overview of all fees can be found at the section “Registration fees” on our website.
1.4 As soon as your registration is confirmed, you’re obliged to pay the registration fee. If you cancel, the terms apply as described in section 3, “Cancellation”. NB: if you apply, but haven’t paid yet, you will be denied entrance to the Dansstage, but you will remain obliged to pay the fee.
1.5 If you do not respond to the payment reminders and there’s a waiting list for the event, the organisation may decide to forfeit your spot to someone on the waiting list. NB: this is treated as a cancellation on your part in all respects, including the terms as detailed in section 3, “Cancellation”. The organisation notifies you of this by email. If you do not receive an email concerning this, you remain registered for the event.
1.6 You’re responsible for the correctness of the information you supply concerning your application and any modifications to it.
1.7 The organisation reserves the right to cancel your application or registration at all times if deemed necessary. In this case, the terms and conditions apply as specified in section 3, “Cancellation”; or a tailor-made arrangement, if agreed on with the organisation.
2.1 In case of an error in your application, or in case anything needs to change for any reasons, the changes are to be sent to the organisation by email.
2.2 In case the organisation has received your registration fee and you request a change involving money transfer in any way, the organisation charges €5 administration fees.
3.1 If you cancel more than 3 weeks in advance of the Dansstage (before 12 February 2017), you get a refund, minus a €5 administration fee.*
3.2 If you cancel between 3 weeks and 1 week in advance of the Dansstage (between 12 February and 26 February 2017), you receive a refund equal to half your registration fee. If at that point there’s a waiting list for the event and someone from the list is willing and able to take your spot, you receive a full refund instead, minus a €5 administration fee.*
3.3 If you cancel less than 1 week in advance of the Dansstage (after 26 February 2017), you receive no refund. If at that point there’s a waiting list for the event and someone from the list is willing and able to take your spot, you receive a full refund instead, minus a €5 administration fee.*
3.4 You can only cancel by notifying the organisation by email.
*Even if you haven’t paid yet but you have been registered for the event, you are obliged to pay the registration fee.
4. Waiting List
4.1 If after your registration the group you chose is full, you’ll automatically be put on the waiting list. You’ll be informed about this within a day.
4.2 As soon as a spot becomes available, you’ll be registered for the event (and removed from the waiting list). If this happens, you’ll be informed by means of a registration mail. All terms and conditions of a normal registration apply.
4.3 After being informed about a free spot as described in section 4.3, you have to confirm within one week. If you do not confirm, you’ll be placed on the cancellation list and the free spot will be passed on. You can be moved from the cancellation list to the top of the waiting list by informing the organisation.
4.4 If you do confirm within a week, all terms and conditions related to a normal registration apply (see section 1). You’ll be obliged to pay the registration fee within 2 weeks after receiving the registration mail as described in section 4.3.
5.1 During the balls of the event (and in between workshops), you may take pictures and videos, as long as these are not used for any commercial purposes. This rule does not apply if musicians request no photos or videos be made. During the workshops you may only take pictures and videos with consent from the teacher. In all cases, respect people’s privacy! Individuals may request a photographer to not make pictures on which they appear identifiable; such a request must be honoured.
5.2 Imagery that’s uploaded to the internet, including but not limited to social media, must be taken down on request by either the organisation and/or anyone featured on the imagery.
5.3 The organisation reserves the right to deny individuals access to the event in case they violate the UT Enschede house rules. The registration fee will not be refunded.
5.4 In addition, if any individual misbehaves, they may be denied access as described in section 5.3.
6.1 The organisation reserves the right to deviate from above rules in case an unreasonable situation arises. Any conflicts must be settled with Stichting Balfolkfabriek.
